This Privacy Policy explains what personal data this website collects about you, why we collect it, who else receives it, and what choices and rights you have. It applies to this website and the services we provide through it.

Who We Are

This website is operated by the organization identified below. This organization is responsible for the personal data described in this policy.

What Personal Data We Collect

When you visit this website, our web server automatically records technical details that your browser sends with each request, such as your IP address, which pages you requested, when the request was made, and which website or search engine brought you here. This happens on every website, and we use this data to deliver pages and maintain website security.

Cookies and similar technologies may collect additional information depending on the choices you make. This is described in the following two sections.

  • What we collect: Your first name (or surname), email address, telephone number, and any information you choose to include in the message.

  • Purpose of collection: We use this data solely to handle your inquiry, provide a quote, arrange an appointment, or answer your question (legal basis: Article 6(1)(b) and (f) of the GDPR – taking steps at the request of the data subject and our legitimate interest).

  • Retention period: We retain this data for as long as necessary to respond to your inquiry and complete the correspondence, and, if a business relationship is established, for the duration of the service and until the expiry of any applicable limitation periods (generally up to 3–6 years from the end of the year in which the service was provided).

Cookies and Similar Technologies

Cookies are small files that a website asks your browser to store. Similar technologies, such as pixels, tags, and browser storage, perform the same function in different ways. Some are necessary for the website to function properly. Others are used for analytics or advertising, and you can choose whether to allow them.

  • Essential Cookies Required for basic website functionality.
  • Functional Cookies Enable features like saved preferences and personalized content.
  • Analytics Cookies Help us understand how visitors use our site so we can improve it.
  • Marketing Cookies Used to show you relevant ads based on your interests.
  • Uncategorized Cookies Cookies that haven't been categorized yet.

Non-essential cookies are only set after you allow them through the cookie banner.

You can review or change your choices at any time by using the cookie preference settings available on this website.

Your Cookie Consent Choices

When you choose which cookies to allow, this site stores that choice in two cookies in your browser. surecookie_user_consent holds the choice itself and lasts 365 days. surecookie_session_id holds a randomly generated identifier and lasts 365 days regardless of that setting; it is created the first time you load a page, before you have chosen anything, so that a choice you make later can be matched to the same browser.

We also keep a record of the choice on this site, so that we can show, if we are ever asked, that you were given a choice and what you chose. Each record holds the date and time, which categories you allowed and which you refused, the random identifier from the cookie above, a shortened form of your IP address, and the country your visit appeared to come from. If you were signed in, it also holds your user account ID.

The IP address in the record is shortened before it is stored: for a normal IPv4 address the last part is replaced with a zero. We do not store your full IP address in these records, and there is no setting that would make us.

To work out which country your visit came from, this site sends your full IP address to a geolocation service operated by Brainstorm Force, the maker of the consent tool used on this site, at library.surecookie.com. The address is sent as part of the web address of that request, only the country comes back, and only the shortened address is stored here. That service is hosted in Germany. Requests reach it through a content delivery network run by a company based in the United States, so that step can involve a transfer outside the European Economic Area. The result is cached for 24 hours, so a repeat visit within that time does not send it again.

These records are stored on this website and are deleted automatically once they are 365 days old.

Separately from how long that record is kept, the choice saved in your browser lasts 365 days. After that it expires and you will be asked again. If we ever need to ask everyone again sooner, for example because the categories on this site have changed, the banner will reappear and your previous choice stops applying.

These consent records are not covered by the personal-data erasure tool built into this site. Erasing your other data leaves the consent record in place, because it is the evidence that you were given a choice. If you want the record itself removed, ask us and we will remove it by hand.

Your choice is also passed to Google's tags on this site as a consent signal, so that they can adjust what they do before any of them run.

You can change or withdraw your choice at any time using the cookie preferences control on this site. Withdrawing does not undo anything that happened while your permission was in place.

Who Receives Information About Your Visit

Some services used by this website receive information about you directly because your browser must communicate with them in order to load content or scripts they provide. They may therefore see your IP address and basic browser information, regardless of whether you interact with anything on the website.

What This Website Sends From Its Own Server

Separately from the files your browser loads, this site sends a small amount of information to other services from its own server while handling your visit. Because this happens on our side, your browser settings cannot control it.

  • Your IP address is sent to library.surecookie.com to work out which country you are visiting from, so the right consent rules can be applied and recorded. Only the country comes back.
  • The addresses of pages on this site are sent to our cookie scanning service on a schedule, so the cookie list above stays current. This is information about the site, not about you.

Your personal data may be shared with third parties we work with to ensure the proper functioning of our website and to handle your inquiries. The recipients of your data include:

  • Hosting and email service provider (Seohost) – H80 Sp. z o.o. (operator of the Seohost brand), which maintains our website and mail servers receiving messages submitted through the contact form.

  • Email software provider (Mozilla Thunderbird) – computer software used locally to receive, view, and respond to your email messages.

  • Accounting / bookkeeping office – an external entity handling our accounting, where an inquiry results in a service being provided and an invoice or receipt being issued.

  • Entities authorized by law – e.g. tax authorities, solely where applicable law requires us to provide the information.

All third-party entities process your data only on the basis of data processing agreements or in accordance with the terms and security policies of their service providers, ensuring a high level of protection for your information.

This site applies the same cookie and privacy practices to every visitor, wherever they are.

How Long We Keep Your Information

We retain personal data only for as long as necessary for the purpose for which it was collected or as long as required by law. How long this website retains records of your cookie choices is described above in the section “Your Cookie Consent Choices.”

The length of time we retain your data depends on the purpose for which it was collected and the applicable laws. Below are the specific retention periods for different types of information:

  • Contact form submissions and support messages (email):

    • If the correspondence is general, informational, or related to an inquiry and does not result in a business relationship, we retain the data for as long as necessary to provide a complete response and conclude the correspondence (up to 3 months from the last message).

  • Data related to services and parts orders:

    • If a business relationship is established, we retain the data necessary to perform the repair or order automotive parts for the entire duration of the service relationship. After the service is completed, the data is retained for the limitation period applicable to potential civil claims arising from the service (generally up to 6 years from the end of the year in which the service was provided).

  • Invoices, receipts, and accounting records:

    • All personal data contained in sales and accounting documents (e.g. first name, surname, company name, tax identification number, address) is retained for the period required by Polish tax law. The standard retention period is 5 years, calculated from the end of the calendar year in which the tax payment deadline related to the invoice expired.

  • User accounts (if applicable):

    • We do not currently provide user account registration on this website. If such a feature is introduced in the future, account data would be retained for as long as the account remains active, until you request its deletion.

After the specified retention periods expire, personal data is permanently deleted or anonymized so that the individual can no longer be identified.

Where your information is processed

We are based in Poland. Some of the services listed above process information in other countries.

Where personal information is transferred out of your region, we rely on the following safeguard: Standardowe klauzule umowne UE

Your rights under the GDPR

If you are in the European Economic Area, the General Data Protection Regulation gives you the right of access to your personal data, the right to have it corrected or erased, the right to restrict or object to how we use it, the right to receive it in a portable form, and the right to withdraw consent at any time without affecting anything done before you withdrew it.

You also have the right to lodge a complaint with the data protection authority in the country where you live or work.

Your Rights Regarding Your Information

You can ask us what personal information we hold about you and ask for a copy of it. You can ask us to correct it if it is wrong, ask us to delete it, and object to us using it in a particular way. Where we rely on your permission, you can take that permission back at any time.

To make any of these requests, use the contact details at the end of this policy. We will not charge you for a request and we will not treat you differently for making one.

Some requests are limited by law. We may have to keep particular records to meet legal, accounting or security obligations, and where that applies to your request we will tell you which records and why.

If you are not happy with how we handle your request, you can complain to the data protection authority for your country.

Why We May Use Your Information

For anything on this website that requires your consent, including non-essential cookies, the legal basis is the consent you provide through the cookie banner. You can withdraw your consent at any time, without affecting processing carried out before the withdrawal.

We process your personal data only where permitted by law. Depending on the circumstances, the legal basis for using your information is:

  • Taking steps at your request before entering into a contract (Article 6(1)(b) GDPR):

    • We use the information submitted through the contact form because, by sending an inquiry, you are asking us to take specific steps in response.

  • Compliance with legal obligations (Article 6(1)(c) GDPR):

    • We must process and retain your data (e.g. first name, surname, tax identification number, address) where required by law. The most common example is issuing an invoice and maintaining accounting and tax records.

  • Our legitimate interest (Article 6(1)(f) GDPR):

    • We process data where necessary to operate and protect our business, provided that this does not disproportionately affect your privacy. This includes, in particular:

      • Maintaining correspondence and archiving email messages to ensure efficient customer service.

      • Establishing, pursuing, or defending against potential legal claims.

      • Ensuring the technical security of our website and IT systems.

Protecting Your Information

We take reasonable technical and organizational measures to protect personal data against loss, misuse, or access by unauthorized persons. No website or method of transmitting information over the internet is completely secure, so we cannot guarantee absolute security.

We may update this policy when the website changes, when the way we handle information changes, or when the law changes. When we do so, we will publish the new version on this website and update the date at the top. If a change requires your consent to something new, we will ask for it.
